The Address

We begin a letter with a heading which is the address. In Britain, it is customary to write your full postal address at the top right-hand comer of the notepaper or letterpad. The name or number of the house or building is followed by the name of the road or street, and the name of the village. town or country. After that it is dated.

The address you put at the top of a letter at the right is usually the one to which you wish replies to be sent. Thus, if you are writing from home but are going to stay at another place in the near future, you can mention this new address preceded by the words ‘as from’.

If a person is staying at another person’s house, the name of the owner is written above the address and is preceded by the letters ‘C/o’ which denotes care of:

The Date

The date should be written at the top right or left corner of the letter, depending on your preference. Write the complete date including the day, month, and year. For example, “April 12, 2023.”

There are four principal ways of writing the date on a letter:

  • Friday. 15th March 1982.

  • March 15, 1982.
  • 15-3-1982

The Salutation

Most letters begin with Dear. Written against the left-hand margin. This is called the salutation.

While addressing somebody elder to oneself one begins the letter with expressions such as Dear Father Dear Aunt, etc. But while writing to a friend etc. the usual way of beginning a letter is Dear followed by the person’s first name or even nickname. There must be a comma after the salutation.

The text of the letter and the first of salutation begin with the capital letter:

The text of letter should begin 2 or 3 centimeters from the margin as when starting a paragraph.

This can also begin under the comma of the salutation:

And so such a letter becomes a very personal affair-mutual exchange of love and affection between two persons.

While writing a personal letter to someone who is not a close friend or to someone who is treated with respect, the salutation begins:

followed by the person’s surname. People are addressed in a letter just like they are addressed in a conversation

The Body of the Letter

After salutation, the body of the letter follows.

The body of the letter should be divided into three parts-introduction, main message or information and conclusion.

(i) Introduction

Here we refer to the letter being answered or give the reason for the letter we are writing. Here

are a few first sentences given as examples:

I have just received your letter.

Thank you for answering my letter so promptly.

It was nice to hear from you after such a long time.

You will be glad/sorry to learn …

(ii) Message

This is the main part of the letter. Here we answer the questions or supply the information asked for. We also try to include interesting details and refer to important events that go into a personal letter.

(iii) Conclusion

The personal letter usually ends with a wish. Here are examples of a few of these:

There are subtle difference between these forms and they need to be carefully considered in the context in which they are to be used.

The Complimentary Close

All letters close with subscription which begins Yours …..

(Capital Y)

When writing to friends one can close a letter just as one likes-with expressions of deep affection or familiarity. The most common endings of personal letters are:

Ever yours.
Love,
Yours as ever.
All my love.
Yours sincerely,
With my undying love.
Sincerely yours.

The complimentary close is always followed by a comma.

The Signature

Underneath the subscription you put your signature. Always write your signature clearly. If the letter is addressed to someone by his given or first name only, the signature likewise is to be with your name or first name. In case the letter begins ‘Dear Mr…. etc.. your full name must appear below the signature.

Even after the letter is written and revised it is not ready for mail. you have to put it in an envelope and write the address on the envelope. Always write the address clearly. Here is an example:

Post Scripts (P.S.)

These are permissible in personal letters when something important has been forgotten. These are put after the signatures, starting on the left-hand side of the paper. Generally this should not exceed more than 2 or 3 lines.
